i am at the stage where i have paid aos and iv fees submitted ds260 and have collected all the scans of the iv and aos package documents.
my prefix is "SYD" so to my understanding i can email submit. I assume this is faster? i have named all my pdf files "SYD(casenumber)_first name_surname_(filename)" and put them in order.
my main question is how do i do this, do i just attach all my scanned documents in order in one email to the provided email address? do I need to do the "opt in"?

do i need to put anything in the body of the email?
a link to a guide or any help would be extremely appreciated as i'm stressing out about what step to take next.

Yes, electronic processing is usually faster. You can just write up a general email: To Whom It May Concern, Please find attached the supporting financial and civil documents related to my case SYD... etc.

Also, each document can't be more than 5 MB I believe.

I did electronic processing and just got a case complete. So here is my advice.

1. Name the files as: CaseNumber_FirstName_LastName_XX_File_Description.pdf

  • CaseNumber - in your case, it should begin with SYD, followed by numbers
  • FirstName and LastName - are the Beneficiary's first and last names
  • XX - Numbers (00, 01, 02, 03, etc.) to keep all files in order
  • File_Description - Description of what document the file contains (ex: Petitioner_Form_I-864_Signed, Petitioner_Tax_Transcript_2014, Marriage_Registration_Certificate, etc ).
  • Example of complete filename: SYDxxxxxxxxxx_FirstName_LastName_07_Petitioner_Tax_Transcript_2014.

2. You DO NOT have to OPT IN. Just attach all the files to your email and write a cover letter in the body of the email listing all the documents you are attaching and submitting. The email subject line should be your case number (SYDxxxxxxxxxx) only. Send the email to NVCElectronic@state.gov. DO NOT forget to attach the AOS cover sheet and IV cover sheets as files being submitted as well.

3. Here is a link to a sample cover letter to include as the body of your email (https://docs.google.com/document/d/16fpd3oYb5oYesSgc5OI5YPXalrhp1po28q9R7MnACIc/edit).

4. Remember, the sum total of the sizes of all the attached files must be less than 5MB, otherwise the email submission will be rejected by the NVC system. Some people get confused and think the limit is 5MB per file. No, it is 5MB per email. You can get a free trial version of Adobe Acrobat Pro to optimize the PDF files to reduce their size, if you need to. If it is impossible to get the email below 5MB, then send two separate emails, one with AOS files and another with Supporting document files but explain in each email body that it is the first or second of two emails you are submitting with files.

6. Here is an OLD (BEWARE!) guide to EP (http://www.visajourney.com/wiki/index.php/NVC_Electronic_Processing). BEWARE!!, it is outdated and most info in it is no longer valid.

We really do need an updated guide on Electronic Processing. But I hope this helps for now.

Review everything one last time before sending them in. Make sure none of the PDF files are secure/password-protected. In my case, my tax transcripts sent by the IRS as PDF files last year (when we could request tax transcripts online, no longer possible now) were secured (even though I could open them without a password). NVC asked me to resubmit these and it delayed our case processing by a few days, thankfully only by a few days.

I just double triple checked this but just confirming I should submit both iv and aos package in the same email? (as long as it's under 5mb)

Yes, submit both AOS and IV documents in the same email (as long as it is under 5MB).

Refer to this NVC webpage (https://travel.state.gov/content/visas/en/immigrate/immigrant-process/documents/Submit_documents.html), where it says at the top to submit everything as ONE package, regardless of whether it is electronic processing or regular paper mail-in processing.
