How to deliver secondary documents.

My fiancée had her interview two days ago. She was informed her police record needed to be in her maiden name. The consular officer told her to drop of new for to the security guys outside the embassy. She was not given any documentation about this. We are concerned about just dropping off the documents with no means of tracing receipt. They did approve us and kept her passport. This just seems a little off to me. Has anybody dealt with this or have suggestions as how to proceed?
