Hi everyone, we got a checklist asking us to submit some documents, and I am trying to figure out if the documents are actually missing, or if they weren't up to the standards. The exact wording is as follows:

______3 - BIRTH CERTIFICATE:_______________________________________

Please submit this applicant's photocopy of the original document listed above. Each applicant must send a photocopy of the original birth certificate issued by the official custodian of birth records in the country of birth, showing the date and place of birth, and the parentage of the alien, based upon the original registration of birth.

Documents must be from the appropriate issuing authority. Failure to provide the correct document will delay your case and may result in rescheduling of your interview or refusal of a visa.

The certificate must contain the following information: Person's date of birth

Person's place of birth

Names of both parents, and

Annotation by the appropriate authority indicating that it is an extract from the official records

If the certificate is a photocopy of the certified original document, it must come from the issuing government authority and it must contain annotation by the issuing authority indicating that it is an extract from the official records.

- A baptismal certificate that contains the date and place of birth, as well as both parents names (providing the baptism took place shortly after birth)

- An adoption decree for an adopted child

- An affidavit from a close relative, preferably the applicant's mother, stating the date and place of birth, both parents names, and the mother's maiden name

Suitability of Documentation for Immigration Purposes:

For many countries, the U.S Department of State has established country-specific criteria for ensuring that applicants submit documents appropriate for visa processing. Please go to our website http://nvc.state.gov/ to determine if the U.S. Department of State has issued any country-specific guidelines for the document requested.

All documents not in English or in the official language of the country where the visa application will be processed must be accompanied by a certified translation. Your translation must include a statement by the translator which includes the following:

Translation is accurate

Translator is competent to translate

______5 - MARRIAGE CERTIFICATE:____________________________________

Please send a copy of this applicant's original marriage certificate or a copy of the certified marriage document.

etc. etc.

Now I am certain I sent in both documents and the translations, so I called the NVC and spoke to someone who said they would refer it to a supervisor for further review, but they also said go ahead and re-send the documents just in case. I then called again and spoke to a different agent, who insisted we are probably running afoul of the "Documents must be from the appropriate issuing authority." portion, and they insisted that there is no way they could have lost any documents if I sent them. This agent also told me if I re-send, it could further delay processing so I should wait for the review to finish first (42 days...). This is very confusing, because our documents were obtained from the Ward office (ku-yakusho) in our "honseki-chi" in Japan, and I don't think there are even any other authorities that can issue them. Also the english translations have that statement by the translator they want. Is there anything we might be missing here?

Is there really any harm in re-sending the documents? Also, can anyone shed light on which case it might be (missing vs. not up to standard). I'm a little frustrated because I feel like we might get stuck here waiting and re-sending the wrong documents...

I ran into this with my husband's birth certificate as well. They stated it wasn't from the proper issuing authority. My husband stated the same thing, he knows of only one place in Mexico that issued the birth certificate and that is the civil registry office. He ended up going to the state and city he was born and having a new certificate issued there, he then had the certificate notarized as a legal certificate and got an apostille that stated the document was legal. Once we submitted those documents they accepted them and we received our CC rather quickly.

Obviously every country is different but I would at least inquire at the place where the certificate was issued.
