My petition has been at the embassy for two weeks now, still nothing in the mail...I tried calling and emailing to get a status update, couldn't get any information

Is it possible to apply for the police clearance with the letter from NVC, where they let us know they forwarded our file to Tokyo? Or does it have to be the letter from the embassy, specifically requiring the document?

They usually require letter from the US Embassy. It should work to call and ask your local prefectural police.

Since they are sealed but NVC requires copies, do we send the sealed original police clearance as part of the IV package? Or do we not send it and bring it during the interview? Packet IV is an acceptance from consulate/embassy of your packet 3. Once NVC forwarded your approved application to your assigned embassy, all paper works will then forwarded to the embassy/ consulate office.

If you can look at my timeline, I have the lists from packet 3 alongwith the interview process .

Thanks for the link, I will be applying in Kanagawa though. I might give them a call today, hopefully they have english speaking staff, I wouldn't know how to explain everything in japanese...

So the NOA2 from USCIS might work. (I'm not sure which docs you already have )

Thank you so much for all the info! There was no need to call though, I got the packet yesterday, I'm going to Yokohama tomorrow to apply for the police clearance.

I have a few questions though, if anyone can shed some light I'd be so grateful!

I've been asked to mail in some paperwork, including my ORIGINAL birth certificate. In my country its a unique copy that if I lose or misplace will be a lot of hassle to get a new one, do I really have to send the original? I have a notarised translation of my birth certificate that I will send.

It is mentioned that all original documents will be attached to my file, does that mean I can get it back after the interview?

Also, I have to send the birth records of my children ( I have two but only one will join me to the states ), original family register showing the birth of the children. Should I just send the paperwork for my daughter, the one that is applying for the k2 and disregard the one for my son, even though he is mentioned by name?

And is there any template that I can use to translate the family register like there is one for divorce? Or do I just type the translation and sign it?

Certified true copy is allowed for any civil documents. So your notarized bc with translation will be ok. As for translation, I had my documents translated by a certified translator, which means I paid for all translations. I guess it was 3500 yen for each document. I know for sure that you need to include all your kids paperworks even if they won't apply for now ( somehow it'll be useful in the future if your son decides to come and visit you or live with you ).

I went ahead and sent my original birth certificate, whatever happens, happens.The checklist asked to send my original previous passports, which Im pretty certain I will get back so Im hoping my birth certificate will be among the documents that will be returned to me. Don't want to risk losing more precious time, my baby needs to spend his first Christmas with both mommy and daddy

As for the family register, I called yesterday to ask if I can make the translation which I was told I can and so I did, but I couldn't use the template they have on the website, that's only for use with passport application and birth registration.

I mailed the packet today and hopefully it will be received by Monday, I used letter pack 510.
