How do I follow-up with embassy?

Timeline

May 9th my husband had his IR1 visa interview in Montreal, since we don't live near an embassy we decided to file for our 1 year old daughters CRBA while we were there. I didn't do enough research ahead of time(too busy with the visa paperwork) to know that I needed to prove my physical presence in the US. So we left having filled out all of the paperwork and with a sheet of paper showing where to fax the required documents.

Once we got home from the trip I contacted my high school and requested my school records k-12. They would not mail them to me in Canada, so they were mailed to my parents and my mom tried faxing them to the number that was on my sheet, but it didn't work. I found a different fax number on the embassy's website and she faxed them there, she never received any kind of notice that it hadn't gone through, but it's now been a month and I haven't heard anything back. Is there any way to make sure that they received the documents? I'm pretty sure I read something on the form saying that after 3 months they would basically throw away the application if they didn't hear from me. I'd rather not lose the $100 and have to start over again. Anyone been through this?? Is there a way to contact someone at the embassy and actually get an answer?
