Interviews without a-file

Timeline

My wife and stepdaughter both had AOS interviews in June without the A-file being at our local office. During my stepsdaughter's interview, she is only six, the officer did order the A-file. He told us to wait and for another interview letter to come in the mail. One month later, we called the toll-free number and they said all of the processing was complete and the files were now in Las Vegas. We made an info pass appointment and the officer told us to be patient and wait for the letter. Does this sound correct? What can we do to facilitate the process? This is so frustrating because they scheduled two interviews when the A-files were sitting in another state.
